A One-Time request is for an item(s) which can be purchased without incurring additional or ongoing costs.

Please submit your request online by completing the request form that follows. The completed requests will be forwarded online to the Office of the Vice Chancellor for Student Affairs (VCSA) and the Student Fee Advisory Committee (SFAC). SFAC will then review all requests, conduct interviews, and make recommendations to the Chancellor regarding the one-time allocation of student registration fees.

The following key dates have been established for the receipt and review of the Student Services Budget Call:

Request call: October 17-December 16, 2016
Department Visits: January 9, 2017
Beginning spring quarter 2017
The Chancellor reviews one-time recommendations and finalizes allocations during summer 2017.

Reserve Account

A Reserve-Account request is for a project(s) which can be purchased without incurring additional or ongoing costs.

Please submit your request by scheduling a presentation with the SFAC committee and referring to the Memorandum of Understanding for request best practices. The requested presentation dates will be forwarded online to the Office of the Vice Chancellor for Student Affairs (VCSA) and the Student Fee Advisory Committee (SFAC) for reservation. After presentations, SFAC will then make recommendations to the Chancellor or ask for more information regarding the reserve-fund allocation of student registration fees.

It is our hope that this timeline will allow you to be notified of any budget augmentations in time to plan accordingly. Please contact Jayne Patterson in the VCSA Office at ext. 8970 if you have any questions or would like to schedule your presentation with the SFAC committee.

Student Affairs Departments:

The Student Fee Advisory Committee (SFAC) would like to provide you with a memorandum of understanding regarding allocations from our reserve account in order to improve transparency and operate more effectively.

The Committee has always and will continue to view the reserve account as an opportunity to fund large projects that will significantly enhance student life. The Committee exercises these funds for projects where the overall size of the project is large. The nature of these projects can be quite complex, and so the Committee believes prompt inclusion in the project is necessary to make a sound decision. Please read the following for some best practices when requesting funds from the reserve account:

  1. The Department has made efforts to receive the money from other sources.
  2. The monies being requested have been narrowed down to a specific aspect of the project so that the Committee can see exactly where the money is going.
  3. The Department should schedule a time to present to the Committee and allow two weeks for the deliberation.
  4. If funded, both parties will be updated on a need-to-know basis.
For future reference, we have included information on reserve allocations as well as the link to schedule a presentation under the ‘Budget Request Forms’ tab at www.sa.ucsb.edu/sfac/. If you have any questions or concerns, please do not hesitate to contact the committee at the email provided below.

Respectfully,

The Student Fee Advisory Committee
