Reservation Guidelines

 

  • SRB spaces can be reserved by the following groups: Student Affairs (SA) departments, SEAL registered campus organizations (RCOs), AS entities, and campus departments. 
  • Organizations may make a maximum of 10 reservations per quarter.
    • Each separate occurrence of a repeated event counts as a reservation (ie. a recurring event from Week 1 through Week 10 will count as all 10 events for the quarter)
    • This limit does not apply to SA departments.
  • With the exception of SA departments, reservation requests for study week or finals week require an exception form to be submitted (see below).
  • The SRB Multipurpose Room (MPR) may not be reserved for recurring programs or meetings.
    • Organizations may only reserve the MPR a maximum of three times per quarter.
  • Any weekend reservation (Friday 6:00pm - Sunday 11:59pm) must have a minimum number of 25 participants and must last for at least 2 hours.
    • Weekend reservation requests must be submitted at least 7 days in advance of the event date.
    • Weekend hours are Friday 6pm-1am, Saturday 8am-1am, and Sunday 8am-11pm.
    • Weekend events must occur in the MPR, and may not be recurring reservations.
  • RCO events may require additional approval from Student Engagement & Leadership (SEAL) or the Minor Events Committee in order to receive a space confirmation. RCOs must submit 360 Event Planning forms on Shoreline for all events. Visit SEAL's website for more information on the event-planning process.

 

Additionally, the SRB Governance Board has approved specific reservation periods for different organizations. Please make sure that you are in the appropriate reservation window before submitting a space request.

  • Student Affairs Departments: May request reservations year-round.
  • Registered Campus Organizations (RCOs) and AS entities: May request reservations for the current quarter beginning on the first day of classes at 10am. Reservations for summer may be requested when the reservation window of the preceding spring quarter is open.
  • Non Student Affairs Departments: May request reservations for the current quarter beginning Week 2. Reservations for summer may be requested when the reservation window of the preceding spring quarter is open.


 

 

Exception to the Policy

For the following event requests, an additional form will have to be submitted for consideration by the SRB Operations Team.

  • Individuals and non campus affiliated groups attempting to reserve spaces
  • Requests for study week or finals week
  • Requests submitted outside the designated reservation window
  • Groups who plan to use amplified music or the kitchen
  • Fundraisers or food sales
  • Blood drives
  • Scheduling more than three (3) events in the MPR
  • Scheduling more than ten (10) events total in an academic quarter
  • Any event serving prepared food (packaged snacks are ok)
  • Any weekend event not occurring in the MPR

Email the completed form to sa-orpgsrbreservations@ucsb.edu, and please allow for at least two weeks for your exception to the policy request to be reviewed.
